Personal Assistant to Executive (ref no. A845)

Full time/Permanent/Aberdeen City Campus

Salary: £27,392.79 - £31,476.26 per annum

 This is both an exciting and key role within North East Scotland College, providing a confidential secretarial and support service for the Executive, Associate Vice Principals and other relevant managers. 

 Within this role you will ensure that the Executive, Associate Vice Principals and other relevant managers have excellent administrative support, enabling them to focus on strategic management issues. The successful candidate should be an excellent organiser and communicator with a proactive as well as reactive approach. They will also have the ability to use their own initiative, be able to work as part of a team, and work closely with all senior managers having the ability to adapt to different working styles in this dynamic and ever-evolving environment, working well under pressure to meet tight deadlines.

 Applicants should have previous experience of working as a Personal Assistant at a senior level and have substantial experience in Minute Taking at both strategic and operational meetings, with the ability to absorb information at pace and with a high level of accuracy. Experience of handling confidential information and knowledge of Data Protection legislation is also essential along with experience in the use of IT systems.

Person Specification





Education and Qualifications


HNC in relevant discipline or SCQF Level 7 or equivalent experience.


Advanced IT Skills in MS Office, especially Excel, Word and Teams.

Ability to produce accurate Minute of Meetings at both strategic and operational levels with a strong attention to detail. 


Ability to draft correspondence and produce documents to a high standard.


Ability to work at an appropriate professional level (collaboratively within the team and independently) to establish good working relationships, including external and internal stakeholders.


Ability to plan, organise and prioritise work efficiently and effectively to meet strict deadlines with minimum supervision with a “can do” attitude.


Ability to use own initiative to solve problems and respond proactively to unexpected situations.


Ability to be reactive (and proactive) whilst maintaining a high professional standard, including quality assurance.


Ability to take responsibility for own work with little supervision.

Experience and Knowledge

Previous experience of working as a senior level PA.


Previous experience of minute taking at a Board and/or senior level.


Previous experience of multi-tasking and prioritising your own workload.


Substantial knowledge and experience in the use of IT systems, including all Microsoft packages e.g. Word, Excel, Power point, Teams, Outlook and Adobe platforms.


Experience of handling confidential information and knowledge of Data Protection legislation.


Knowledge and experience of strategic thinking to problem solve, taking the initiative and proactively supporting the objectives and goals of an Executive team.



Knowledge and experience of FE Sector.
