Administrator - HR Team

Ark is looking for an experienced administrator to join us as an HR Assistant on a Fixed Term Contract until 31st March 2025. The purpose of this role is to provide a comprehensive and professional administrative service within the People & Organisational Development team.

A large focus of the role involves managing the employee journey in terms of recruitment, changes in their terms & conditions along with absence management and monitoring. This is a generalist role that will give you exposure to a wide variety of areas of HR so would be great for anyone looking for their first step into HR or anyone looking to expand their HR knowledge.

Your daily workload will include but is not limited to:

  • Creating and issuing standard HR letters using the existing templates;
  • Monitoring email inboxes and responding to emails, seeking advice from the wider team where required;
  • Completing pre-employment checks following the Ark recruitment process including obtaining references, checking ID & Right to Work, completing Disclosure checks and keeping the Candidates in Progress monitoring spreadsheet up to date;
  • Updating employees details and employment terms & conditions accurately in the HR system following the appropriate guide;
  • Requesting absence spreadsheets from managers and inputting the absence onto the HR system;
  • Running reports from the HR system (e.g. staff lists, new start reports & absence) using the appropriate guides;
  • Formatting reports in Excel using the appropriate guides;
  • Updating the visa monitoring spreadsheet and issuing reminders to line managers and the HR team in line with the visa monitoring guidelines.

We are ideally looking for someone with a methodical & thorough approach to data entry and a background working in an administrative role with solid technical skills. As well as having the ability to build effective relationships and demonstrate professional communication skills at all levels throughout the business.
