About the Role

As a Workforce Planning Coordinator, you will play a key role in ensuring the effective deployment of staff across our services, helping us meet the principles of the Health and Care (Staffing) (Scotland) Act 2019. Working as part of a team of two coordinators, you will ensure staffing levels are planned effectively, shifts are communicated in advance, and high-quality, person-centred support can be delivered safely and consistently.
This is a fast-paced and rewarding role that combines workforce planning, staff wellbeing, absence management, and stakeholder communication.
What You'll Be Doing
As Workforce Planning Coordinator, you will:
- Develop and maintain rolling staff rosters, ensuring colleagues know their shift patterns in advance and the people we support know who will be supporting them.
- Coordinate annual leave planning and arrange appropriate staffing cover using Peripatetic Support Workers and Relief Staff.
- Deploy an allocated team of Peripatetic Support Workers to cover unplanned absence.
- Communicate staffing changes and their impact to the people we support and their families.
- Work closely with the Talent Acquisition Coordinator to deliver a seamless onboarding experience for new employees.
- Coordinate and monitor shadow shifts for new staff, ensuring all required documentation is completed.
- Identify and report potential staffing shortages through workforce planning meetings.
- Conduct "Keep in Touch" and "Back to Work" meetings, providing support to employees returning from absence.
- Carry out routine wellbeing check-ins with allocated staff members.
- Gather feedback from colleagues and the people we support on the performance of new employees.
- Maximise the use of SOL's digital people management systems, including Access People HR and Planner.
- Support recruitment and retention initiatives.
- Provide cover for colleagues within the Workforce Planning Team.
- Complete administrative duties associated with the role.
