Administrative Officer

Salary: £20,000 per annum

Location: Glasgow

Contract/Hours: Permanent - Full-Time - 35 hours per week,

A bit about the role

Are you positive, compassionate, caring, and organised? We are looking for Administrative Assistant to join our team at our Stoneside services (G43 1JF), which provides quality residential care and short breaks services for up to 40 young people aged between 8 – 18 years with children with various learning disabilities. This is a fast paced project and requires the candidate to act quickly and prioritise the project needs/workload. 

Within our residential service we provide long-term placement for three boys ages 10 to 16. Our Short breaks service offers families a vital service where young people spend fun and quality time within the service out with their family home. 

The role involves financial duties such as Budget monitoring and accurate petty cash reconciliation. Within this service there will be HR related tasks that involve inputting staff Working Patterns, Logging Sickness, Processing Additional Hours, Contract changes etc. This role will be based within our service location. You will work as part of the Business Support team providing reception and telephone duties alongside providing admin support to our senior management team. This role is varied, exciting and rewarding. 

The successful candidate will need to be able to evidence an organised and flexible way of working and have a willingness to learn the evolving software that is supported in the organisation.

How you'll help to create brighter futures

  • Providing a range of administrative and front of house services utilising organisational policies, procedures and digital systems.
  • Financial tasks, monitoring accurately Petty Cash for the project, working with online financial systems, Invoicing, raising POs, budget management and supporting any funding opportunities for our Young People/Families.
  • HR duties such as contract changes and payroll tasks
  • Producing presentations, written and financial reports for management, including formatting of information and data, which is consistent with organisational and regulatory standards.
  • Providing a professional front of house service to welcome internal and external visitors, ensuring visitors experience is welcoming and professional to reflect our brand and values
  • Undertaking desk top research on behalf of colleagues and management to inform responses to correspondence received or to enable the completion of specific reports.
  • Supporting the project in maintenance development needs; working with contractors, raising POs and monitoring expenditure. 

Let's talk about you

  • Business Administration S/NVQ Level 2 or equivalent qualification or work experience.
  • Able to work in a fast paced environment.
  • To take responsibility for a project or task and deliver within agreed timescales.
  • To work within a team environment, demonstrating tact and diplomacy with other members of staff and where necessary to direct and guide.
  • Effective communication written and oral to a range of different personnel.
  • Proven track record of liaising with senior external stakeholders to co-ordinate key activities.
  • To take responsibility for a project or task and deliver within agreed timescales.
