Job Description

To provide comprehensive administrative / secretarial support to staff within the Supported Accommodation Team.

 

Requirements

Manage all general clerical and administrative functions within the team, providing an accurate and efficient secretarial and administrative support.

Providing general administrative duties relating to staffing matters.

Assist the Manager/Officers with the monitoring of rents/arrears, purchase of goods, and other financial functions.

Deal with enquiries in relation to Temporary Accommodation.

The Individual

Demonstrable working experience in a similar role within a busy office environment.

Proven experience using Microsoft Office packages including Word, Excel, Outlook & Microsoft Teams.

Experience of monitoring financial transactions and using financial systems.

Relevant Business & Administration qualification.

4 SQA National 5 grades or equivalent at level 3 or above including English and Maths/Arithmetic*

High level of accuracy in work. Ability to use initiative in day-to-day tasks.

Ability to use initiative in day-to-day tasks.

Ability to participate as a team member.

Ability to deliver a high level of customer care.

Effective organisational and time management skills to manage competing demands.

Ability to recognise the sensitivity of information and maintain strict confidentiality.

Ability to update and maintain records and databases ensuring the accuracy and integrity of the records.

Minute taking experience.

Effective communication skills using the telephone, by email and face to face when interacting with a range of different people and circumstances with the ability to use sensitivity, diplomacy and tact.

Ability to accept direction/delegation.

Ability to develop effective working relationships.

Ability to work in an open plan/shared office.

Flexibility to meet the needs and demands of the service.

The successful candidate will be required to undergo a Disclosure Scotland Level 2 check prior to any formal offer of employment being made by Moray Council.
