Job Description

To assist in the provision of a Registration service within the Moray Registration Service and to undertake training as appropriate in the duties of Assistant Registrar/Registrar.

Requirements

• Responsible for recording births, deaths, marriages, still births and civil partnerships. • Conduct civil marriage/civil partnership ceremonies in the office and at outside venues across Moray • Conduct Citizenship Ceremonies. • Undertake the appropriate administrative and clerical functions associated with the Registration process. • Undertake ongoing training in the registration of births/death/marriages and general registration duties. • After an accumulated period of 2 years experience undertake the Certificate of Proficiency in the Law and Practice of Registration, if not already held.

The Individual

Significant experience in an administrative / clerical role. Experience of using software package such as Microsoft Word and Excel. Experience of dealing with the public in a customer facing role. 4 SQA standard grades or equivalent at level 3 or above, including English and Maths.* Must be able to deal with the public, in a professional and courteous manner. Be able to work as part of a team. Self motivated, diplomatic and able to plan and prioritise workload. Excellent interpersonal skills, able to deal with particularly sensitive issues e.g. death registrations and be able to obtain the correct information from people in emotional circumstances. Able to use own initiative and work unsupervised Able to work with high accuracy and a keen eye for detail Able to write clearly and accurately Organised and methodical Flexible approach to work and willingness to be involved in a variety of tasks Ability to liaise with professionals and other business users of the registration service Adaptable to change Full UK Driving Licence Welcoming, non-judgemental, patient, helpful and show empathy Be able to deal tactfully and discreetly with members of the public from a wide range of backgrounds and cultures. Willingness to offer emotional support if required. Willingness to accept direction/delegation. Ability to work in an open plan/shared office Appreciation, acceptance and commitment to the importance of confidentiality. Ability to work flexibly to meet the needs and demands of the service. Following training, ability to conduct civil ceremonies throughout Moray. During training you will be expected to accompany a Registrar between various work locations within Moray to meet the operational requirements of the Service. Due to the rural nature of Moray this is normally undertaken by use of a car/van.
