Job Description
To provide a secretarial, clerical and word processing service for specific Sections within Growth, Planning and Climate, these sections being Building Standards, Community Protection, Development Management, Economy & Enterprise and Strategic Planning & Development. This post will particularly provide support to Community Protection, Economy & Enterprise and Strategic Planning & Development.
Responsibilities
Provide clerical support services to specific sections within Growth, Planning and Climate.
Provide a word processing and typing service to specific sections within Growth, Planning and Climate.
Organise incoming and outgoing mail for specific sections within Growth, Planning and Climate.
Provide a reception service for specific sections within Growth, Planning and Climate.
Maintain a comprehensive filing system for specific sections within Growth, Planning and Climate.
Provide cover for the other Clerical Assistants/WPOs within Growth, Planning and Climate.
Provide a secretarial support service to specific Sections within Growth, Planning and Climate.
The Individual
Previous experience in a busy office environment in a clerical/administrative role using relevant technology e.g. photocopier, E-mail, Intra/Internet
Experience using the Microsoft Office Package
4 SQA Standard Grades or equivalent at level 3 or above including English and Secretarial Studies (or equivalent)
Ability to use initiative when required
Proven ability to communicate effectively, both verbally and in written form
Strong customer care skills and focus
Self-confidence
Self motivated
Demonstrate ability in relation to accuracy and attention to detail
Effective organisational skills including time management
Ability to prioritise workload
Ability to relate well and communicate with all levels of staff
Willingness to accept direction/delegation

Ability to work in an open plan office
Flexibility to meet the needs and demands of the service
Ability to work in different offices dependent upon service requirements
