This role will allow and require you to demonstrate your experience of multi-disciplinary working and be committed to working closely with colleagues from other disciplines.

This is a fast-paced role and activities will include:

  • To provide comprehensive administrative support to Partnership Managers and professional staff.
  • To provide a comprehensive minute taking service for Adult Support and Protection, Adults With Incapacity, Guardianship Case Conferences and various other meetings.
  • Prepare and distribute minutes to comply with the demands of service delivery and Departmental policy and procedures.
  • To organise small and large-scale meetings effectively.
  • To ensure the production and distribution of quality minutes within set timescales.
  • To provide a back-up minute taking service to other staff.
  • Use Word Processing equipment and software to produce reports, memoranda, letters and spreadsheets from audiotapes, or other forms of condensed written drafts or other paperwork.
  • Interrogate databases and update and input data as required.
  • To make and receive internal/external calls, dealing with enquiries personally, or obtaining or passing on of information or referring caller to appropriate source.
  • Maintain various records, registers and statistical information, both manually and computerised; ensuring financial and administrative procedures are adhered to.
  • Participate in working groups/inter-departmental meetings concerned with service development and practice.
  • Filing and photocopying duties.
  • Undertake any other duties which may be allocated as and when required.
  • Participate in and undergo further training as required to enhance individual performance.

Other duties

The postholder may be required to perform duties other than those given in the job description for the post. The particular duties and responsibilities attached to posts may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence and would not of themselves justify the re-evaluation of a post. In cases, however, where a permanent and substantial change in the duties and responsibilities of a post occurs consistent with a higher level of responsibility, then the post would be eligible for re-evaluation. (Officers temporarily undertaking additional duties are covered by NJC Conditions of Service, Section 1, paragraph 8).

Skills & Experience Required

We are looking for an enthusiastic individual to come and join us as a clerical.

You must be highly motivated, empathetic and have excellent communication skills

There is an expectation that short listed candidates will meet all the requirements stated in the job profile and as follows.

Knowledge & Experience Needed

  • You must have excellent word processing skills (Typing speed of 50 wpm).
  • You will have previous experience of working within an office environment.
  • You must have an ability to work under pressure and to tight timescales.
  • You will have the ability to work on own initiative and demonstrate forward planning.
  • You must have excellent minute taking skills with the ability to transcribe comprehensive minutes to a high standard.
  • You must have a good working knowledge of Microsoft Office – including PowerPoint and Excel.

Customer Care

  • You will have the ability to deal with members of the public and have a commitment to customer care.

Health & Safety

  • You have a personal responsibility for taking care of yourself and others and must comply with all relevant Health and Safety legislation.
  • You must undertake any H&S training relevant to the post

Equality & Dignity at Work

  • You must have the ability to treat colleagues and customers with dignity and respect as per the Council’s Employee Charter

Communications

  • You will be able to act on information and instruction.
  • You will have effective communication skills - both written and verbally.

Flexibility

  • You must have the ability to work to deadlines/timescales.
  • You will be able to work within different locations in Perth City.

Achievement of Results

  • You will be educated to at least standard grade level or equivalent.
  • You should have a full current clean driving licence.
  • You should be willing to undertake further training as necessary.

  • You must have the ability to deal with confidential information sensitively and effectively.

Team Working

  • You must have the ability to work as part of a small team.

Decision Making & Problem Solving

  • You will be able to work on your own initiative with minimal supervision.

Any Additional Requirements

  • Must be able to cope with the demands of the job and attend on a regular basis.
