Work Pattern: Monday - Thursday 8:45am - 4:45pm and Friday 8:45am - 4:15pm

An exciting opportunity has arisen for two Secretaries within Community and Enterprise Resources, supporting two of the four Heads of Service.
You will be required to provide a confidential, efficient and comprehensive administrative, secretarial and liaison service including undertaking specialist highly complex administration duties in support of the Head of Service.
Applicants should have excellent IT skills and a knowledge of a range of systems, and be able to demonstrate excellent communication and interpersonal skills, along with the ability to deal with matters in a discreet and confidential manner and should be competent at planning and organising.
Duties will include:
- Undertaking a full range of administrative functions, including minute taking on behalf of the Head of Service.
- Responsible for the preparation of reports, papers and correspondence adhering to procedures, processes, and timescales.
- Assist the Head of Service with time management replying to routine correspondence and filtering / redirecting calls and correspondence to appropriate personnel.
- To organise and manage the Head of Service’s diary, make appointments, organise meetings and any associated travel and accommodation arrangements providing regular updates.
- Undertake the final drafting of appropriate papers and provide a full secretarial and administrative service to the Head of Service.
- Manage and maintain filing systems, recording and organise stationery and hospitality supplies.
- Liaise with elected members, chief officials, internal and external customers, stakeholders, and public bodies to ensure the effective provision of the service.
