About the Role
You will provide essential support for the effective management of the College’s examination and resulting processes. This includes ensuring accuracy, compliance, and a high-quality service for students, staff, partners, and awarding bodies. The role safeguards data integrity, ensures the secure handling of examinations, and supports the smooth flow of information across the learner journey from registration to certification.
Working collaboratively with colleagues and external partners, the role promotes accountability, accuracy, and continuous improvement in how assessment information is managed and used. It contributes to statutory reporting, compliance with awarding body regulations, and efficient service delivery during peak exam periods. The post requires a proactive, detail-oriented team player who can work under pressure, manage multiple priorities, and support a student-centred service with professionalism and confidentiality.
Key Responsibilities
Invigilation & Exam Delivery
· Co-ordinate and support exam service delivery across campuses or sites, including seating plans, notices, timing devices, and compliance with regulations.
· Assist with the coordination and scheduling of invigilators, ensuring examinations are appropriately staffed.
Awarding Body Co-ordination
· Co-ordinate and manage the collection of all relevant information relating to assessments ensuring it is accurate and up-to-date and that transfers to Awarding Bodies are maintained in relation to registrations, entries and results.
· Assist with the collection of data and information from external awarding bodies, ensuring that reports are checked and accurate as well as ensuring invoicing is accurately monitored.
Data & Reporting
· Collect, verify, and update assessment and results data to ensure accuracy, timeliness, and compliance.
· Liaise with awarding bodies to confirm entries, results, and associated invoicing, ensuring discrepancies are identified and resolved.
Access Arrangements & Special Considerations
· Work closely with the inclusion team to implement approved access arrangements for students.
· Prepare and submit applications for special consideration to awarding bodies in line with regulations.
Results Processing & Student Support
· Assist with the accurate collection, verification, and release of student results.
· Support students, staff, and external stakeholders by responding to results queries, appeals, and complaints in a timely and professional manner.
Compliance, Policy & Continuous Improvement
· Ensure examination activities are carried out in accordance with awarding body requirements, college policies, and GDPR.
· Keep up to date with changes to exam regulations, procedures, and best practice, and share updates with colleagues.
Teamwork & Cross-College Support
· Support and enable accessibility, approachability and strong cross team working relationship by maintaining a visible presence across the College, being available to staff and students to provide guidance, resolve queries, and promote confidence in examination and resulting processes.
· Work closely with colleagues across teams to ensure consistent understanding and application of exam processes.
Qualifications and Experience
Essential:
· Evidence of continuous professional development
· Administration experience
· Experience of data entry
· Experience in the operational use of student information systems.
· Knowledge of Awarding Body systems and procedures.
· Experience in administering internal and/or external assessments.
· Comprehensive knowledge of internal/external exams process
· Experience of working across team boundaries to build and strengthen working relationships and systems.
Desirable:
· Knowledge of quality audit processes applied by awarding bodies.
