About the Role

The Contract Support Administrator plays a key role in ensuring the efficient, compliant, and digitally robust delivery of Modern Apprenticeship (MA) contracts. The role requires strong IT skills, competence across Microsoft Office, and the ability to create, upload, store, and manage structured digital files in SharePoint and the Skills Development Scotland contract monitoring and reporting system (FIPS).

The post holder will maintain accurate digital records across multiple platforms and use DocuSign to generate, issue, and manage electronic MA documentation. They will interpret and apply MA contract rules and compliance requirements, addressing any non‑compliance promptly.

Key Responsibilities

· Maintain, update, and manage digital information systems, ensuring all MA contract documentation is created, uploaded, stored, and organised accurately within SharePoint, using strong IT skills and best‑practice data‑management principles.

· Carry out online group award registration and process results for learners undertaking qualifications with specific awarding bodes i.e., EAL, IMI & ECITB.

· Ensure registration, resulting and certification with relevant Awarding Bodies e.g., QS, C&G and EAL is carried out in an accurate, timely manner in order that the contract funding can be claimed.

· Apply a strong working knowledge of MA Contract rule, funding requirements, compliance expectations, and documentation standards, providing clear guidance and clarification to delivery teams and external partners.

Qualifications and Experience

  • Essential:
  • Educated to SCQF 7 in a relevant discipline (e.g. Administration/Business) or Recent experience in a similar role for a minimum of 2 year.
  • Previous experience of contract administration.
  • In-depth knowledge and recent work experience of contract administration, with the ability to analyse and interpret data.
  • Desirable:
  • IOSH Working Safely
  • Project Management
  • Experience of Contract Administration within FE Environment
  • Experience of working out with FE Commercial Setting

Skills and Attributes

  • Essential:
  • Strong IT and Digital Literacy skills, with confident use of Microsoft Office, SharePoint and digital workflow tools
  • Financial awareness with strong literacy and numeracy skills
  • Excellent organisation and digital file management skills, with the ability to structure, maintain, and navigate shared information systems.

  • Use of programmes such as FIPS or other CRM
