The High School of Glasgow is seeking to appoint an organised, efficient and highly professional Exams Officer to support the administration and delivery of Qualifications Scotland examinations and wider assessment processes within the Senior School.

This is a key operational role within the school and would suit someone who is calm under pressure, exceptionally well organised and confident managing detailed administrative processes with accuracy

and discretion.

The successful candidate will oversee all administrative aspects of the examinations process, ensuring that the school meets all Qualifications Scotland requirements and deadlines while providing excellent support to staff and pupils throughout the examination cycle.

Previous experience in an examinations or school administration role would be advantageous, but is not essential. We are equally keen to hear from candidates with strong organisational and data-management skills who are keen to develop expertise in this area.

Applicants should be highly competent in the use of Excel and databases, and be able to manage multiple competing deadlines effectively.

The role is approximately 0.5 FTE and is primarily term-time working. However, due to the nature of the post, some flexibility is required, including attendance during parts of the Easter break and during the summer examination results period. Working patterns will vary across the academic year, with some periods significantly busier than others.

KEY RESPONSIBILITIES

Reporting to the Senior Deputy Rector, the Exams Officer will be expected to lead and manage all administrative aspects of the school’s examination and certification processes, ensuring full compliance with Qualifications Scotland regulations and procedures. They will play a central role in the smooth running of internal and external examinations and will work closely with pupils, staff and senior leaders throughout the academic year.

Examination Administration

Manage all administrative arrangements relating to Qualifications Scotland examinations

Act as the school’s primary administrative contact for Qualifications Scotland

Ensure accurate pupil examination entries and amendments

Maintain all examination records and candidate data

Process coursework and assessment submissions where required

Coordinate the distribution of examination timetables and candidate information

Manage arrangements for pupils requiring assessment accommodations

Assist with the administration of appeals, estimates and certification processes

Ensure all examination procedures comply with Qualifications Scotland regulations and deadlines

Internal Examinations

Coordinate the administration of internal examinations, including prelims and assessment periods

Produce examination schedules, seating plans and candidate lists

Organise examination materials and documentation

Liaise with teaching staff regarding examination arrangements

Data & Systems

Maintain accurate examination and candidate data using school databases and management systems

Produce reports and spreadsheets as required

Ensure a high level of accuracy and attention to detail in all data handling

Communication & Support

Communicate effectively with pupils, parents and staff regarding examination procedures and arrangements

Support pupils during examination periods with professionalism and sensitivity

Work collaboratively with senior leaders, support staff and invigilators

General

Contribute positively to the wider life of the school

Maintain confidentiality and professionalism at all times

Undertake other reasonable duties appropriate to the role

PERSON SPECIFICATION

Essential

Excellent organisational and administrative skills

Strong attention to detail and accuracy

High level of competence in Microsoft Excel and database systems

Ability to manage multiple deadlines and prioritise effectively

Strong written and verbal communication skills

Ability to work calmly under pressure

Professionalism, discretion and reliability

Desirable

Experience working within a school or examinations environment

Knowledge of Qualifications Scotland procedures

Experience of school MIS systems

Experience handling sensitive or confidential information
