Job purpose
This Modern Apprenticeship role offers an exciting gateway for you to launch your career within Audit Scotland’s Accounts Commission Support team. This fast paced and dynamic business group delivers core services to support the Accounts Commission in carrying out its financial, performance and Best Value work, and its engagement and communications activities.
Your journey will be guided by our Policy Manager and you will have ongoing support from an appointed mentor who will help you develop both professionally and personally throughout your apprenticeship.
This varied role promises a vibrant learning environment, where you will be delivering high-quality administrative support, while working towards achieving a recognised Business Administration qualification.
Supported with training, you will gain experience in a range of duties. This is a brilliant opportunity to build skills, confidence, and begin a rewarding career at Audit Scotland while working towards an SCQF Level 6 in Business Administration.
Please note that this role will require regular presence in our Edinburgh office and occasionally at our Glasgow office (further details below).
On a day-to-day basis, tasks you are likely to be involved in include:
· assisting with the administration of monthly Accounts Commission meetings, with responsibility for a continuous monthly cycle of tasks including:
- checking and compiling meeting papers and reports, assisting with issuing of papers and preparing physical copies as required
- maintaining a list of required actions and other work planning information
- managing online meetings via Teams Webinar, including issuing invites, sharing registration links and overseeing the technology on the day
- uploading meeting recordings and ensuring accurate transcripts and captions
· compiling weekly and monthly summaries of relevant news stories, by reviewing daily email updates, Parliament and news websites, and other sources
· supporting our communications by assisting colleagues in keeping our website information clear and up-to-date and in producing social media content
· booking accommodation and travel, arranging meetings, and assisting with managing Commission members’ diaries
· monitoring and managing emails via a shared Outlook mailbox
· administration of our internal SharePoint document management system
· keeping an SCQF portfolio up to date with achievements and evidence, ensuring deadlines are met in achieving accreditation
· being part of a team that is committed to excellence and dedicated to providing a high-quality administrative support service
· any other reasonable duties as requested by the Commission support team or Corporate Support Team Leader.
While Audit Scotland supports flexible working and staff are able to work both at home and in the office, this role will require you to be at our Edinburgh office – and occasionally our Glasgow office – on specific occasions such as monthly Accounts Commission meetings.
