We are seeking a highly organised and motivated administrator to join the reputable and established Falkirk services on a part time basis, working 18.5 hours per week. The working pattern can be flexible and can be structured as two days one week and three days the following week, for example. This is a good opportunity to become part of a supportive and experienced team and to join a wider locality administration peer group offering connection, shared learning and professional support across services.

The Falkirk services form part of the Falkirk locality which is made up of several specialist teams delivering vital support to children, young people and Families within Falkirk communities.

These include:

Equally Safe - a domestic abuse service supporting survivors and their children who are impacted by domestic abuse

Family Group Decision Making - a service that empowers families to come together and create their own family plans to achieve better outcomes for their families

Axis - A service offering support around harm reduction with a focus on substance use and alcohol related harms

Positive Mental Health and Wellbeing - an early and preventative service focused on improving the mental health and wellbeing of children and families aged between 5-26 years

The Administrator role will be pivotal in supporting operation of the services with the Falkirk locality. Tasks include, managing the service reception role, providing a warm welcome to children, young people and families accessing the building. Managing diaries/event bookings, preparing audit information/ reports, monitoring income/expenditure/ processing invoices and managing the health and safety of the building are also key tasks associated with this role.

As well as providing a high level of administration support to the Service, we are looking for someone preferably with experience in:

  • Financial Administration - Income and expenditure monitoring and reporting; imprest reconciliation; invoice coding and processing.
  • Practical skills in MS Office suite of applications: this includes, but not limited to Word, Excel, Teams, Outlook, Dynamics 365
  • Premises and Facilities Management - Responding to referral calls/enquiries; assisting Managers with Health & Safety, liaising with Properties for any repairs and maintenance to buildings
  • Service user Records Administration – including Producing reports aggregated from service user records for internal and external audiences as required

Please note that although this role has a permanent status, please be aware that this post is subject to continued funding and therefore should funding not be extended, you may be subject to a redundancy consultation or a TUPE arrangements
