We’re seeking an organised and motivated Secretarial Administrator to join our CLAO Inverness office, providing efficient, high-quality legal administrative and casework support to solicitors and Heads of Office across the CLAO network.

You’ll play a key role in helping us deliver client-centred and trauma-informed legal services, ensuring our offices run smoothly and our clients receive the highest standard of support.

Key responsibilities include:

· Audio and copy typing, drafting legal and other documents

· Maintaining and updating case files within the case management system

· Assisting solicitors with administrative and case-related tasks

· Managing reception duties, including dealing with client and contact enquiries

· Administering incoming and outgoing mail through various communication methods

· Processing case documents, including downloading, photocopying and scanning

· Diary management and coordination

· Processing invoices and requisitioning goods or services through internal systems

· Using and monitoring Legal Aid Online (LAOL)

· Supporting the Network and Support Coordinator with delegated tasks

· Supporting training and work planning for new business support colleagues

· Other general office and administrative tasks as required.

To succeed in this role, you will need:

· Speed and accuracy in typing

· Excellent oral and written communication skills

· Competent in the use of IT, including Microsoft 365 applications

· High level of accuracy and attention to detail

· Ability to work independently and seek guidance appropriately

· Excellent time management and organisational skills

· Excellent customer service skills

· Sound understanding of confidentiality and data protection.
