We’re seeking an experienced and motivated Secretarial Administrator to join our CLAO Inverness office and play a key role in helping us deliver client-centred and trauma-informed legal services, ensuring our offices run smoothly and our clients receive the highest standard of support.

You’ll provide efficient, high-quality legal administrative and casework support to solicitors and heads of office across the CLAO network

Key responsibilities include:

  • Audio and copy typing, drafting legal and other documents
  • Maintaining and updating case files within the case management system
  • Assisting solicitors with administrative and case-related tasks
  • Managing reception duties, including dealing with client and contact enquiries
  • Administering incoming and outgoing mail through various communication methods
  • Processing case documents, including downloading, photocopying and scanning
  • Diary management and coordination
  • Processing invoices and requisitioning goods or services through internal systems
  • Using and monitoring Legal Aid Online (LAOL)
  • Supporting the Network & Systems Coordinator with delegated tasks
  • Supporting training and work planning for new business support colleagues
  • Other general office and administrative tasks, as required.

To succeed in this role you will need:

  • Speed and accuracy in typing
  • Excellent oral and written communication skills
  • Competency in IT, including Microsoft 365 applications
  • High level of accuracy and attention to detail
  • Ability to work independently and seek guidance appropriately
  • Excellent time management and organisational skills
  • Excellent customer service skills
  • Sound understanding of confidentiality and data protection
  • Previous experience working in a legal environment (highly desirable).
