Senior Digital Administrator

Digital Services – Cyber Security, Information Governance and Compliance Team

Midlothian Council is looking for a highly organised and customer-focused Senior Digital Administrator to join our Digital Services team.

This is a key role supporting the effective management of the Council's digital assets and operational processes. The successful candidate will help maintain accurate records for ICT equipment worth several million pounds, support procurement and stock management activities, and ensure digital assets are tracked, managed, recovered and disposed of in accordance with Council procedures and audit requirements.

The role involves responsibility for a wide range of Digital Services administration activities, including:

  • Managing ICT asset records and supporting the lifecycle management of digital equipment.
  • Obtaining quotations and arranging the procurement and ordering of ICT hardware, software and specialist equipment.
  • Supporting stock control and inventory management processes.
  • Processing and monitoring invoices and supplier payments.
  • Chasing outstanding payments and renewals for software licensing and subscriptions.
  • Supporting the secure recovery, reuse and disposal of ICT assets.
  • Managing requests for specialist equipment, including support for the Access to Work scheme.
  • Tracking equipment requests and coordinating deliveries with suppliers and internal teams.
  • Maintaining records and supporting workflows within ServiceNow and associated business systems.
  • Supporting Digital Services processes and helping identify opportunities for continuous improvement.
  • Providing administrative support for change, release and service management activities across Digital Services.
  • Supporting colleagues, schools and services with a range of digital administration requirements, including new starter equipment requests and operational support activities.

The ideal candidate will have excellent organisational skills, attention to detail and experience of working with records, suppliers, customers and business processes. Experience of procurement, inventory management, administration or ICT service environments would be advantageous.

The post is primarily office-based due to the nature of the asset management and operational responsibilities involved. However, there may be occasional opportunities for hybrid working where service requirements allow.

We welcome applications from individuals seeking either full-time or part-time working arrangements. Part-time applications will be considered with a minimum working pattern of three days per week.

KNOWLEDGE

Essential

  • Must have an understanding of the full range of ICT policies and operational processes that impact local government
  • A minimum of two years’ experience of working with external consultants and IT
  • Higher grades including good passes in maths and English (3+) or 2+ years demonstrable experience in a similar role.

Based on 36 hours over 52 weeks per year, the minimum actual salary for this position is £32,554.06 per annum.
