As part of the Finance Team, the post-holder will provide a high quality and efficient administration service supporting the work of the team which is responsive to the day to day needs of the learners and staff. This will include providing excellent customer service when dealing with student and staff enquiries either in person, online or via telephone and managing email communications.

Key Responsibilities:

· Provide comprehensive and high quality customer service and administration support to the Finance and Student Funding functions as required.

· Assist the Finance and Student Funding Team with daily administrative tasks.

· Assist learner in-person enquiries by providing cover at the public and private reception areas.

· Assist learner in-person enquiries by liaising with Finance and Funding Assistants where required.

· Provide a friendly, welcoming, professional and inclusive service to learners, visitors, partners and staff.

· Able to effectively liaise with all members of college staff as necessary.

· Assist learners in the completion of the online funding application, fee waiver forms and payment plans.

· Gain appropriate knowledge to provide accurate advice to learners and colleagues in respect of student support funds, tuition fees and fee waivers in line with the College ethos in respect of student support.

· Monitor and record learner attendance and engagement data in order to facilitate student support fund payments.

· Signpost learners to Advice and Guidance, Department of Work and Pensions, Citizens Advice where appropriate.

· Participate in the enrolment process as necessary.

· Assist staff using the College’s purchasing system, raising orders, processing invoices and dealing with supplier enquiries.

· Able to meet deadlines as required ensuring that the quality of all work produced is of high standard.

· Maintain appropriate audit trails and paperwork and assist with the annual audit process.

· Assist in the development and implementation of new procedures to ensure the effective operation of the Finance and Student Funding administration service.

· Work actively as part of the Finance and Student Funding Team.

· Learn and apply the College’s Financial Procedures.

Skills, Knowledge and Expertise:

Qualifications:

· Ideally educated to HNC (SCQF Level 7) level or equivalent in a relevant subject area;

· Evidence of Continuous Professional Development.

Knowledge:

Demonstrable knowledge of

· The requirements of providing high-quality administrative support and excellent customer service;

· MS Office packages including Word and Excel, MS Teams etc.

· The demands expected within a Finance and/or Student Funding function

Skills and Competencies:

· Good interpersonal, telephony, written and verbal communication skills;

· Good IT Skills

· Good numerical skills

· A high degree of accuracy and attention to detail

· Ability to work independently with limited supervision and use own initiative

· Ability to work as a member of a support team;

· Ability to work flexibly to meet the requirements of the service, including travelling to other campuses.

· Ability to prioritise workload and meet deadlines; and

· Ability to maintain confidential information

Experience:

· Communicating with internal and external customers or stakeholders;

· Experience of working in a busy customer care environment.
