What is the Job Function?

We are looking for an experienced PA to support the Executive team. The main function of the PA is to support the Executives with their day-to-day role by providing them with extensive administrative support, inclusive of diary management, to essentially allow them to maximise their ability to work on strategic and operational matters. You will work with the Executives to understand their role and tasks and how these fit into the overall scope of the business and how you can effectively and efficiently support them. You will have the ability to handle a variety of confidential and sensitive information discreetly and professionally. You will have exceptional communication and interpersonal skills with strong organisation skills. It is essential that as a PA you work with diplomacy, honesty and professionalism.

Main Duties

· Assist the Executive Directors in their day-to-day activities

· Aim to anticipate the changing needs and priorities of the Executives and respond accordingly, demonstrating initiative to minimise any negative impact of the changes

· Act as first point of contact dealing with correspondence and calls

· Managing diaries, organising meetings and appointments

· Email management for relevant Executives

· Booking and arranging travel, transport and accommodation and organising/coordinating events and conferences

· Typing, compiling and preparing reports/correspondence in relation to staff, young people, organisational developments, financial matters etc.

· Managing databases and filing systems

· Collating and filing expenses

· Updating and collating annual leave and on-call rotas

· Minuting meetings including preparation of meeting paperwork i.e., agendas, minutes, paperwork

· Assist in the co-ordination and minuting of a range of Board sub-committees including the preparation and circulation of relevant papers

· Liaising with various members of ET, SLT, HR, Finance, staff and external agencies on behalf of the Executives

· Various ad hoc administrative tasks as directed by line management or the Executives

What qualifications, skills and experience are we looking for?

· A minimum three years’ experience in a PA or similar administrative role

· Excellent Microsoft Office skills

· Minute taking experience is essential with the ability to record and assimilate information concisely and accurately

· Excellent communication skills, both verbal and written

· Experience of working within a fast-paced environment with the ability to multi-task and work flexibly to accommodate shifting priorities and to deadlines

· Ability to problem solve and work with minimal supervision; be proactive and take initiative

· You must be able to work with discretion and tact with a clear understanding of the requirement to be trustworthy

· A positive attitude and a sense of humour

· An understanding of the organisation and its vision and values

· HR experience is desirable

· Project Management experience is desirable

· A secretarial/PA qualification, an administration qualification or willingness to work towards
