Glasgow Kelvin College is seeking an exceptional Executive Personal Assistant (PA) to provide high-level, confidential and proactive support to the Principal and Chief Executive Officer (CEO).
This is a pivotal role at the heart of the College, ensuring the Principal and CEO is strategically prepared, well briefed and able to focus on delivering the College's priorities. Working across a wide range of internal and external stakeholders, you will provide exemplary executive support, coordinate key activities and events, manage communications, and contribute to the smooth operation of the Office of the Principal and CEO.
The successful candidate will be highly organised and professional, with excellent judgement and the ability to manage competing priorities in a fast paced environment. You will play a key role in supporting senior leadership, governance processes and stakeholder engagement while maintaining the highest levels of confidentiality and discretion.
Key responsibilities include:
- Provide comprehensive Executive PA support including complex diary management, meeting coordination and prioritisation of competing demands.
- Prepare briefings, reports, presentations, correspondence and meeting documentation on behalf of the Principal and CEO.
- Manage incoming communications and correspondence, drafting responses and progressing actions as appropriate.
- Act as a key liaison between the Principal and CEO and internal and external stakeholders.
- Coordinate travel, accommodation, events, stakeholder visits and corporate engagements.
- Produce accurate minutes and ensure actions are monitored and progressed.
- Support governance processes, compliance requirements and organisational priorities.
- Draft, edit and proofread high quality communications, speeches and presentations.
- Maintain effective information management systems, confidential records and stakeholder databases.
- Work collaboratively with senior leaders, Board members, external partners and colleagues across the College to ensure effective communication and delivery of priorities.
Qualifications:
- Ideally educated to HND (SCQF level 8) or equivalent in Business Administration or similar or equivalent experience.
- Evidence of commitment of continuous professional development and ongoing learning.
Knowledge:
Demonstrable knowledge of:
- Understanding of high‑level executive support requirements within complex organisations.
- Knowledge of governance frameworks, Board functions and operational requirements.
- Awareness of pressures and expectations associated with senior leadership roles; sector‑specific education knowledge advantageous

Experience
- Senior level executive PA experience, including complex diary management, meeting preparation, minute taking and coordinating logistics for high level engagements.
- Experience producing high quality written materials, such as briefings, reports, speeches, presentations and corporate communications for diverse audiences.
- Proven ability to manage confidential information and communication flows, drafting responses, tracking actions and maintaining effective information management systems.
- Strong stakeholder management experience, working with senior leadership teams, Board members and external partners, ensuring professional, timely engagement.
- Experience supporting governance, compliance and organisational processes, including maintaining accurate records and adhering to Data Protection, GDPR and FOI requirements.
- Experience coordinating events and operational activities, managing timelines, risks, briefing materials and cross‑team collaboration to support the Principal and CEO’s office
